SMLA Office Administrator

SMLA is hiring an office administrator, a key role in our efforts to keep SML clean and safe.

Job Title: Office Administrator
Reports to: President of the Board of Directors
Location: SMLA Office, 400 Scruggs Road, Moneta, VA
Employment Type: Part-Time, up to 24 hours per week

Salary Range : $18-20 per hour

Position Summary:

The Office Administrator plays a key role in the operations of the SMLA office, supporting organizational efficiency, financial accuracy, membership management, and a positive experience for members, visitors and volunteers. This role requires a proactive, organized, and resourceful individual who can work both independently and collaboratively to meet the operational goals of the organization.  The SMLA office is open during daytime hours on weekdays.

Key Responsibilities:

Membership Support, Financial Administration & Board Assistance

  • Process membership applications, renewals, payments, donations, and invoices
  • Maintain records for incoming checks, map sales and memberships
  • Prepare reports for membership trends
  • Prepare mailings for membership renewal postcards
  • Contact members and constituents via email and telephone regarding payments, renewals and donations
  • Perform a variety of bookkeeping tasks in QuickBooks Online including vendor invoices and bank deposits
  • Reconcile financial transactions in the membership database and QuickBooks online
  • Assist the Board of Directors on projects, events and committees

Office Operations

  • Handle incoming correspondence, including mail, email, and phone calls, directing them to the appropriate parties
  • Greet and assist office visitors, creating a welcoming and professional environment
  • Manage inventory and ordering of office supplies
  • Coordinate maintenance of office equipment and liaise with vendors when necessary
  • Maintain organized and efficient filing systems (physical and digital)
  • Support recruitment, scheduling, and supervision of office volunteers

Qualifications:

  • Previous experience in office administration or related role
  • Strong organizational and time-management skills
  • Bookkeeping and data entry experience
  • Proficiency in Google Workspace (and related tools) and familiarity with membership database systems
  • Excellent verbal and written communication skills
